How to add users and manage their roles
You can give your team access to Alba and control what each person sees and does. Roles range from full account control to read-only financial access, and you can scope them to a single venue or across your whole account.
Where to find it
Go to Settings, then Users. This is where you add people, assign roles, and change or remove access.
Adding someone
- The person needs an Alba account already, registered with the email you'll add. If they don't have one, they can sign up from your booking page first.
- Select Add user, enter their email, and choose a role.
- For roles tied to a single venue, pick the location, then save.
The roles
- Account Owner: Full control over the entire account, including all locations, user management, billing and legal. There's only one per account.
- Account Admin: Broad access across every location for settings, users, bookings and reports. Can't sign merchant agreements.
- Location Admin: Full control over an assigned venue: simulators, staff, bookings, pricing and reports.
- Location Staff: Day-to-day work at a venue: bookings, customers and check-ins.
- Location Accountant: Read-only financial access at a venue: revenue stats, settlements, invoices and payment reports.
Instructor and Instructor Admin roles work a little differently and are covered in How admins set up instructors.
Account-wide vs per-venue access
Account Owner and Account Admin apply across every venue. Location Admin, Location Staff and Location Accountant apply to the venue you choose. One person can hold more than one role, for example Location Staff at two venues, and their access adds up.
Changing or removing access
Use Edit role to change someone's role or venue. Use Remove to take away their access. Removing access doesn't delete their Alba account, it only removes their permissions for your account.
A good rule of thumb: give people the narrowest role that still lets them do their job.
