How to set up repeat bookings for a group or individual

A common request is to support groups or individuals who want to play at the same time on a repeating schedule, for example every Wednesday at 18:00. Alba supports this in two ways, depending on whether the booking is for an individual customer or a group.

Individuals

For individual customers who want a fixed weekly time, you can create bookings on their behalf one date at a time, or use payment links to collect payment when it suits you.

How it works

Create bookings for the customer ahead of time, one by one for future dates.

When creating bookings on behalf of a customer, you can choose between:

  • Request payment immediately, or
  • Leave the booking unpaid and send a payment link later, for example on the day they are playing or week by week

Payment links let you control when payment is collected, while keeping the booking visible in Alba with full access control and SimLock support.

This setup works well for individuals, since each booking is connected to a customer and can be paid for directly through Alba.

The customer will see all upcoming bookings in their Alba profile. If access control is enabled, they receive an SMS before the booking with a key to enter the venue.

Groups

For companies, leagues, or social groups that book regularly, use group bookings. You save the group once under Customers → Groups, then book them from the admin calendar on the Group tab.

With group bookings you can:

  • Set up a repeating weekly slot for up to 100 sessions in one go
  • Choose whether anyone with the access link can open the doors, or only the group's organisers
  • Collect payment per session or for the whole series in one transaction

Organisers receive booking confirmations, reminders, the access link, and payment requests. They can share the access link with participants when you allow it.
