How to set up rental equipment

Rental equipment lets customers add physical items to a bay booking, like club sets, putters or training aids. Each item is reserved for the full booking, so it works well for anything you have a limited number of.

Where to find it

Go to Products, then Rental equipment. Use Add rental equipment to create an item.

How customers see it

Rental equipment shows up during checkout, after the customer has chosen their bay time. It isn't on the main booking calendar and isn't meant for walk-in shop sales. Customers see one card per category, for example Rental golf clubs, and open it to pick the specific items they want. They can choose more than one.

Adding an item

Create one item for each physical thing you rent out. If you have five club sets, add five items, and put the detail in the name so customers can tell them apart, like "Right-handed stiff" or "Left-handed regular".

Each item has:

• Name: what the customer sees, for example "Junior clubs".
• Category: how items are grouped in checkout. Rental golf clubs is available today. To rent out something else, email help@albaplay.com.
• Description: an optional short note shown in checkout.
• Email confirmation instructions: text added to the booking confirmation email, for example "Pick up your clubs at the front desk before your booking starts".
• Hourly prices: the price per hour, set the same way as your bay prices (simple or advanced). Bookings shorter than an hour are charged proportionally, so 30 minutes pays half. Each item is priced on its own.
• Photos: optional images shown in checkout.

Stock and availability

Each item represents one physical item at your venue, so only one customer can book it at a time. Customers can see all your items, but anything already taken for their chosen time shows as unavailable. When someone adds an item, it's reserved for the full length of their bay booking.

Managing your items

You can deactivate an item to stop offering it in checkout while keeping existing bookings, then reactivate it later. You can delete an item too, as long as it has no bookings or other links.
